Booking & Cancellation Policy

OLKERIAN AFRICA SAFARI

At Olkerian Africa Safari Ltd, we are committed to delivering exceptional travel experiences built on professionalism, transparency, and trust. To ensure smooth planning and clear understanding between our guests and our team, the following Booking and Cancellation Policies apply to all safari packages, tours, and related services offered by Olkerian Africa Safari Ltd.

1. Booking Policy

Reservations & Confirmation

A reservation is considered confirmed once Olkerian Africa Safari Ltd has received the required deposit and issued a written confirmation. 

All bookings are handled on a first-come, first-served basis, and availability of lodges, flights, safari vehicles, and permits (such as gorilla or chimpanzee permits) cannot be guaranteed until payment is received.

Deposit Requirements

  • 25`% deposit is required to secure a booking.
  • For trips involving gorilla or chimpanzee permits, full permit payment is required at the time of booking and is 100% non-refundable.
  • The remaining 75% balance must be settled at least 30 days before arrival.

Payment Methods

Payments may be made via bank transfer, mobile money, or approved online payment platforms. All bank charges and transfer fees must be covered by the client.

Special Requests

Olkerian Africa Safari Ltd will make every effort to accommodate special requests (dietary needs, room preferences, private vehicles, photography support, etc.), but these cannot be guaranteed and may incur additional costs.

2. Cancellation Policy

We understand that travel plans can change unexpectedly. Our cancellation terms are designed to be fair, while also protecting the operational commitments we secure on behalf of our clients.

General Cancellation Charges (Excluding Permits)

  • Cancellations 60+ days before arrival: 10% of total tour cost
  • Cancellations 31–59 days before arrival: 30% of total tour cost
  • Cancellations 15–30 days before arrival: 50% of total tour cost
  • Cancellations 8–14 days before arrival: 75% of total tour cost
  • Cancellations 0–7 days before arrival or no-show: 100% of total tour cost

Non-Refundable Items

  • Gorilla, and chimpanzee permits are strictly non-refundable, as per government authority rules.
  • Flight tickets are subject to the airline’s own cancellation terms.
  • Some lodges may apply stricter cancellation rules during peak seasons; Olkerian Africa Safari Ltd will inform clients at the time of booking.

Refund Process

Approved refunds will be processed within 21 working days, minus bank and transfer fees.

Amendments & Postponements

Date changes are allowed depending on availability. 

Any price differences or permit changes will be passed on to the client. Postponements made within 15 days of travel may be treated as cancellations depending on supplier terms especially some lodges.
